Trello Integration

Pull in Trello cards as you plan your day and use Trello as a backlog for your Sunsama tasks.

Installation

Go to Settings > Trello integration, or open Trello in the right hand panel of your workspace to connect your Trello account(s) to Sunsama. Once in your settings page, click "Add Trello account".

To add multiple Trello accounts, return to this settings page and click "Add Trello account" again.


Browsing and importing tasks

Open Trello in the right hand panel to use the integration (keyboard shortcut Shift E)

Changing Trello workspace or account

If you have multiple Trello accounts connected, switch between them by clicking on the the avatar/profile icon in the top right corner of the integration panel, and selecting another account.

Browsing Trello boards

Sunsama gives you access to all of the Trello boards visible to your Trello account, across all your Trello workspaces.

Click the main board dropdown to see a list of boards and select one.

Importing cards

When you are ready to commit to working on a certain Trello card, you can pull into your plan in Sunsama. There are three ways to pull a Trello card into Sunsama:

  1. Drag and drop the card from the Trello panel onto your Sunsama task list.
  2. Drag and drop the card from Trello panel onto your Sunsama calendar while in Calendar View, this will add a task to that day in Sunsama and block off time on your calendar.
  3. From the Trello card preview, click "Add to today" or pick a specific date for the card. Or, simply hover over the task and hit S to import it to today

Filtering your view:

Hiding and showing lists

Click the dropdown "Lists: All" to select which lists (columns) you want to see from your Trello board. It can be helpful to hide columns like "Done" if you aren't ever going to pull tasks in from there.

Hiding or showing previously imported tasks

By default, when you drag a task into Sunsama from Trello, that task is hidden in the right hand panel. This allows you to easily keep track of what cards still need to be pulled in.

If you want to see Trello cards that have been previously pulled into Sunsama, click the toggle button that says "Imported: Hide". If you want to hide Trello cards that were previously pulled into Sunsama, click the toggle button that says "Imported: Show".

Searching for a task by title

Type in the search box and hit enter to search for tasks that match your query in the currently selected board.


Interacting with imported tasks

Once a Trello task is imported into Sunsama, it becomes a Sunsama task, with an embedded Trello task. Clicking on the Trello icon on the imported task (or hovering over the task and hitting G) will bring you to the task in Trello in a web browser.

Click on a Sunsama task that's linked to Trello to see a preview of your Trello task embedded inside the Sunsama task.

Your associated Sunsama task acts like a worksheet for your Trello task. Inside your Sunsama task, you can add notes, time tracking information, subtasks, and comments without messing with your Trello task. Use your Sunsama task to track the minutia of the task that your collaborators might not care about inside of Trello.


Keep Trello in sync via automations

Import automations

Import automations control how Sunsama updates your Trello cards, inside Trello, when you import a card into Sunsama. The automations you select will apply to cards in all of your boards.

  • Assign to me in Trello: If toggled on, Sunsama will add you as an assignee on the Trello card upon import.
  • Assign to channel: If toggled on, you can further control how Sunsama auto-assigns a channel to imported tasks.
    • Assign channel based on project: If toggled on, Sunsama will set the channel of the imported task based on the Trello board. You can configure how Trello boards and channels are connected from your channel edit menu.
    • Assign to the same channel: If toggled on, any task imported into Sunsama will always get the specified channel.
  • Show prompt to move card to new list in Trello: If toggled on, Sunsama will ask you which list to move a task to when you import it. This is useful for making sure tasks move from a "To do" to "Doing" list inside Trello.
  • Move to next column in Trello: If toggled on, Sunsama will move the card to the next column (to the right) in your Trello workflow. This is useful if all of your boards follow a linear right to left flow.

Completion Automations

Completion automations control how Sunsama updates your Trello cards, inside Trello, when you check off an associated task inside Sunsama. The automations you select will apply to cards in all of your boards.

  • Show prompt to move card to new list in Trello: If toggled on, Sunsama will ask you which list to move a task to when you complete it. This is useful for making sure tasks move from a "Doing" to "Done" list inside Trello.
  • Move to next column in Trello: If toggled on, Sunsama will move the card to the next column (to the right) in your Trello workflow. This is useful if all of your boards follow a linear right to left flow.
  • Archive in Trello: If toggled on, Sunsama will archive the card inside Trello. Use this if completing a task means you are done with the task in Trello.

Exporting makes it super easy to declutter your Sunsama. You can just drag and drop tasks to file things away in Trello if you aren't finding time for them or just want them to do later.

Drag and drop a task into your Trello panel in Sunsama to export it. This removes the task from Sunsama and creates a card in Trello with the title, subtasks, notes, and due date synced over.


Troubleshooting

Trello is not loading tasks in desktop app or web app

If you notice that your Trello integration is loading/displaying correctly in the desktop or web app, but not both, please try the following:

  • Remove your Trello account in your Sunsama settings
  • Go to settings > Account Management
  • Logout all sessions
  • Sign back in to Sunsama.
  • Reconnect your Trello account.
