How to use

Entering daily planning

You can start daily planning in two ways:

  • Manually — Press P or click Daily Planning in the left navigation menu.
  • Automatically — Go to Settings > Rituals and set a time for “When do you plan your day.” Sunsama will prompt you at that time.

The planning flow

  1. Reflect on yesterday

    If you didn’t complete the Daily Shutdown yesterday, you’ll first review yesterday’s tasks. Mark incomplete items as done or edit past work before moving on.

  2. Add tasks to your day

    This stage guides you to build your task list. Sunsama may prompt you to import calendar events as tasks. You can also add tasks from:

  3. Check your predicted workload

    Sunsama sums up the planned times for all your work-related tasks and compares them against your workload threshold (configured in settings). If you’re over, a warning appears.

    A timeline shows your estimated completion time versus your preferred shutdown time. You can defer overcommitted tasks to future days (press D) or move them to the backlog (press Z).

  4. Finalize your plan

    Arrange tasks in the order you want to work on them. Optionally timebox them to your calendar to block out specific time slots. You can also adjust your shutdown time and create a calendar event for it.

  5. Share your plan

    Review your day’s plan, note any potential obstacles, and customize how tasks display. You can post your plan to Slack or Microsoft Teams, then click Get Started to begin your day.

Best practices

  • Plan early — Set automatic planning for early morning so you start each day with intention.
  • Plan by context — Run daily planning multiple times using channel filtering (Shift F) to plan work and personal tasks separately.
  • Plan ahead — Use the date picker to plan future days when you know what’s coming.
  • Run it again — You can re-enter daily planning at any point during the day if your priorities shift. Press P to jump back in.
