Requesting Sunsama as a Workplace Accommodation
How to ask your employer to provide Sunsama as a workplace accommodation for ADHD or other conditions that affect focus, planning, and time management.
Many Sunsama customers have their subscription paid for by their employer. Some do it through a regular expense report (here’s how). Others request Sunsama as a workplace accommodation, often for ADHD or another condition that affects focus, planning, or time management.
This page explains how that works and includes a one-pager you can share with HR.
Why Sunsama fits as an accommodation
The Job Accommodation Network (JAN) is funded by the US Department of Labor and is the go-to resource HR teams use for accommodations. For ADHD-related limitations in time management and organization, planning, and prioritization, JAN recommends:
- Apps for organization and time management
- Organization software
- Calendars and planners
- Reminders and checklists
- Breaking work into separate tasks
Sunsama covers all of these in a single tool:
- Overcommitting or losing track of time: Daily planning with time estimates shows when a day is overloaded before it starts.
- Prioritizing scattered work: Sunsama pulls tasks from email, Slack, Asana, Jira, Todoist, and more into one list.
- Getting started and staying on task: Timeboxing puts each task on your calendar, and Focus Mode shows one task at a time.
- Breaking down large work: Weekly objectives connect bigger goals to the tasks that move them forward, and subtasks split projects into concrete next steps.
- Remembering commitments: Calendar sync, recurring tasks, and notifications keep work visible.
- Reflection and consistency: The daily shutdown and weekly review build a steady routine.
JAN also reports that most accommodations are inexpensive: 56% cost nothing, and the median one-time cost is $300 (JAN cost data). A Sunsama subscription costs well below that.
How to request it
- Make the request in writing to your manager or HR. You don’t need to say “ADA” or “reasonable accommodation.” Just explain that a condition affects your planning or time management and that you’re asking for a tool to help.
- Be ready for the interactive process. Your employer may ask for documentation from your healthcare provider. Your provider doesn’t need to name Sunsama. It’s enough for them to describe the limitation, such as difficulty with time management or prioritization.
- Attach the one-pager below so HR can see exactly what you’re requesting and why.
- Ask about IT or security review early. If your company needs vendor or security documentation, send them to support@sunsama.com or our IT approval guide.
One-pager for HR
Copy this into an email or document:
Accommodation request: Sunsama daily planning software
What I’m requesting: A subscription to Sunsama (sunsama.com), a daily planning tool that combines my calendar, tasks, and email into one structured daily plan.
Why: I’m requesting this to help with limitations in time management, prioritization, and task organization that affect my work.
Supporting guidance: The Job Accommodation Network (askjan.org), funded by the US Department of Labor, lists “apps for organization/time management,” “organization software,” “calendars and planners,” and “reminders” as accommodations for these limitations.
What it does:
- Builds a realistic plan each morning, with time estimates that flag overcommitment
- Puts tasks directly on my calendar (timeboxing) so work has a set time
- Pulls tasks in from tools we already use, so nothing gets lost
- Shows one task at a time in Focus Mode to reduce distractions
- Adds a daily shutdown and weekly review to keep the routine consistent
Cost: One individual subscription, billed monthly or annually. It’s a low-cost accommodation.
IT/security: Sunsama’s team can provide vendor and security documentation at support@sunsama.com.
I’m happy to discuss further as part of the interactive process.
