Microsoft Planner Integration

Connect Microsoft Planner to Sunsama to browse, import, and sync your tasks.

Installation

Go to Microsoft Planner integration settings at Settings > Microsoft Planner integration, or open Microsoft Planner in the right hand panel of your workspace to connect your Microsoft account(s) to Sunsama. Once in your settings page, click “Add Microsoft Planner account”.

To add multiple Microsoft Planner accounts, return to this settings page and click “Add Microsoft Planner account” again. To remove an account, click “Remove” next to it on the settings page.

Browsing and importing tasks

Open Microsoft Planner in the right hand panel to use the integration.

Changing Microsoft Planner account

If you have multiple Microsoft Planner accounts connected, switch between them by clicking on the avatar/profile icon in the top right corner of the integration panel, and selecting another account.

Viewing groups, plans, and buckets

Microsoft Planner organizes tasks into Microsoft 365 groups, each containing one or more plans, and each plan organized into buckets.

  • Click the “Group:” dropdown at the top of the panel to search and switch between your Microsoft 365 groups. You can toggle showing or hiding private groups you belong to.
  • Click the “Plan:” dropdown to search and switch between plans within the current group. Two special entries are always available at the top of this list: My Tasks (tasks assigned to you across plans) and My Day.
  • Click the “Bucket:” dropdown to narrow the task list down to a single bucket, or leave it on “All Buckets” to see everything in the plan. Buckets aren’t available when viewing “My Tasks” or “My Day”, since those aren’t tied to a single plan.

Viewing task details

Sunsama provides some of the details of a given task as you have created it in Microsoft Planner directly on the card: checklist progress, priority, due date, and the assignee.

Click on a task to open the full preview, which adds start date, assigned-to, priority, categories, the full checklist, and any notes on the task.

Importing tasks

When you are ready to commit to working on a certain Microsoft Planner task, you can pull it into your plan in Sunsama. There are three ways to pull a Microsoft Planner task into Sunsama:

  • Drag and drop the task from the Microsoft Planner panel into your Sunsama task list.
  • To timebox the task directly, switch to calendar view (keyboard shortcut tab) and drag and drop the Microsoft Planner task directly onto your Sunsama calendar at the time you plan to work on it. This will add the task to that day in Sunsama and create a working session on your calendar.
  • Click on the task in the Microsoft Planner panel and click “Add to today” (or hover and hit S), “Add to backlog”, or select a specific date for the task.

If a task doesn’t appear in the browse list, use the “Add it by url” link at the bottom of the panel to import it directly by pasting its Microsoft Planner task URL.

Filtering your view

If you have a lot of tasks inside a plan, it can be helpful to filter down to your most relevant tasks.

Under the “Filter” dropdown, you can filter and display your tasks several ways:

Including or excluding imported tasks

  • If you want to see Microsoft Planner tasks that have been previously pulled into Sunsama, click the option which says “Include imported tasks”.

Filter by completion

  • If you want to see completed Microsoft Planner tasks, click the option which says “Include completed”.

Sort by due date

  • Click the Sort button to optionally sort by due date.

Interacting with imported tasks

Once a Microsoft Planner task is imported into Sunsama, it becomes a Sunsama task, with an embedded Microsoft Planner task. You can tell which tasks are imported from Microsoft Planner via the Microsoft Planner icon on the card. Clicking on this icon (or hovering over the task and hitting G) will bring you to the task in Microsoft Planner.

Click on a Sunsama task that’s linked to Microsoft Planner to see a preview of your Microsoft Planner task embedded inside the Sunsama task.

Completion automations

Completion automations control how Sunsama updates your Microsoft Planner tasks, inside Microsoft Planner, when you check off an imported task inside Sunsama. The automations you select will apply to tasks in all of your plans.

Complete in Microsoft Planner

If toggled on, the task will be marked as complete in Microsoft Planner when you check off the task in Sunsama.

Troubleshooting and FAQ

I don’t see all of my plans

Microsoft Planner plans created outside of a normal Microsoft 365 group — for example, plans created in Teams’ personal Tasks app, plans backed by a Loop workspace, or plans surfaced through Microsoft Project — won’t show up under their usual group. Instead, look for a group called “My plans (Teams, Loop, personal)” in the “Group:” dropdown, which collects all of these together.

“Insufficient privileges” or a plan’s tasks all appear missing

If Microsoft Planner reports a permissions error, or a plan you can normally access suddenly shows no tasks, first try disconnecting and reconnecting the integration from Settings > Microsoft Planner integration.

If reconnecting doesn’t resolve it, contact us at support@sunsama.com. We may ask you to visit a diagnostic link while logged into Sunsama, which returns information about what Microsoft’s API is reporting for your account, so we can pinpoint the cause faster.

Admin approval / permissions

Connecting Microsoft Planner may require approval from your organization’s Microsoft 365 admin. See Troubleshooting: Getting IT approval for the specific permissions Sunsama requests and how to get them approved.
