ClickUp Integration

Pull in ClickUp tasks as you plan your day and keep ClickUp in sync with Sunsama.

The ClickUp integration in Sunsama lets you browse your ClickUp spaces, import tasks, keep ClickUp in sync via automations, and more.

Installation and account management

This guide explains how to grant Sunsama access to your ClickUp account or revoke it.

Adding the ClickUp integration

There are two ways you can integrate ClickUp:

  • From your Workspace Settings
  • From the ClickUp panel in the right hand panel

Click the “Add” button and grant Sunsama the requested permissions.

Inside the ClickUp integration, click the user avatar icon in the top right corner to change workspaces. You can switch to any workspace under that ClickUp account.

Removing the ClickUp integration

Navigate to workspace settings, scroll to the ClickUp integration section, and click “Remove”.

Browsing and importing tasks

This article will show you how to browse your ClickUp spaces, folders, lists and tasks so that you can find the tasks you need while planning your day.

Accessing the ClickUp integration

The ClickUp integration appears in the right panel in both Workspace View and daily planning view.

To open the ClickUp panel:

  • Click the ClickUp icon in the right hand navigation panel
  • Use the Command Palette (CMD+K) to search for ClickUp
  • Use keyboard shortcut Shift U

Once inside, there are two sub-panels: “ClickUp” and “Automations”. Click on ClickUp to view boards and cards.

Selecting a ClickUp workspace

Click your user icon within the ClickUp integration, then change workspaces. You can switch to any workspace under that ClickUp account.

Browsing ClickUp spaces, folders, and lists

Sunsama provides access to all ClickUp spaces, folders, and lists visible under the currently selected workspace. Click the main board dropdown to see spaces, folders, and lists organized similarly to ClickUp’s left navigation.

Using the “Home” view

Select “Home” view from the main dropdown. This view mirrors your “Home” view in ClickUp and shows you tasks assigned to you ordered by due date.

View task details

Sunsama provides a rich preview of each of your ClickUp tasks so you can decide which tasks you need to work on today without needing to leave Sunsama. Click any card to see the detailed task preview.

Importing tasks

There are three ways to pull ClickUp tasks into Sunsama:

  1. Drag and drop the card from the ClickUp panel onto your Sunsama task list.
  2. Drag and drop the card onto your Sunsama calendar (adds task and blocks calendar time).
  3. From the ClickUp card preview, click “Add to today” or pick a specific date.

Filtering and sorting tasks

Sorting tasks

Click the “Sort” button to see options. Available sorts: date created, date updated, and due date.

Filtering by assignee

Click the “Me” toggle to see only tasks assigned to you. Click the “teammates” icon to select specific teammates’ tasks to display. These filters don’t appear in “Home” view, which only shows your tasks by definition.

Hiding or showing previously imported tasks

By default, tasks dragged from ClickUp to Sunsama are hidden in the right panel. To view previously imported tasks, click “Filter” and toggle on “Already imported”. To hide them, toggle off “Already imported”.

Troubleshooting and best practices

  • ClickUp Sprint tasks are only viewable by directly viewing their folder or sprint list, not at “Space level”. Find these via “Home” view or URL import.
  • Pull in only the few ClickUp tasks you actually need daily.
  • For large ClickUp tasks, add subtasks to the Sunsama task to track progress across days.
  • Configure automations to maintain synchronization.

Interacting with imported tasks

Once a ClickUp task is imported, it’s embedded inside a Sunsama task. This section explains how data flows between ClickUp and Sunsama and where you should do your work.

Imported tasks

Once a ClickUp task is imported into Sunsama, it becomes a Sunsama task, with an embedded ClickUp task. You can identify a task that came from ClickUp via the ClickUp logo on the card.

Viewing ClickUp details

Click on a Sunsama task that’s linked to ClickUp to see a preview of your ClickUp task embedded inside the Sunsama task.

Interacting with Sunsama specific task information

Your associated Sunsama task acts like a worksheet for your ClickUp task. Inside your Sunsama task, you can add notes, time tracking information, subtasks, and comments without messing with your ClickUp task. Use your Sunsama task to track the minutia of the task that your collaborators might not care about inside of ClickUp.

Understanding synced fields

Currently there are two “synced” fields between Sunsama and ClickUp. The ClickUp icon at the top of the task page tells you which fields are synchronized. By default:

  • If you change the due date in Sunsama or ClickUp, both the Sunsama task and ClickUp task will show the new due date.
  • If you complete the task in Sunsama or in ClickUp both the Sunsama task and ClickUp task will show as completed.

If you want to configure your sync settings, you can do that from your ClickUp Automations panel.

Keep ClickUp in sync via automations

ClickUp Automations let you control how your tasks in ClickUp should be updated when you take actions inside Sunsama like checking off the task or importing the task. You can also configure how actions taken in ClickUp will update tasks inside Sunsama.

Import automations

Import automations control how Sunsama updates your ClickUp tasks, inside ClickUp, when you import a card into Sunsama. The automations you select will apply to cards in all of your boards.

  • Assign to me: If toggled on, Sunsama will add you as an assignee on the ClickUp task upon import.
  • Show prompt to update status in ClickUp: If toggled on, Sunsama will ask you to update the ClickUp task’s “status” as soon as you pull the task in. This is useful for making sure tasks move along from “To do” to “Doing” statuses, for example.

Completion automations

Completion automations control how Sunsama updates your ClickUp tasks, inside ClickUp, when you check off an associated task inside Sunsama. The automations you select will apply to cards in all of your boards.

  • Show prompt to update status in ClickUp: If toggled on, Sunsama will ask you to update the ClickUp task’s “status” as soon as you mark it complete. This is useful for making sure tasks move along from “Doing” to “Done” statuses.

Sync automations

Sync automations control which fields get synced in both directions between Sunsama and ClickUp. Most users will want to turn both of these on.

  • Change due date: If you change the due date of the associated Sunsama task, the ClickUp task will be updated as well. If you change the due date of a task inside ClickUp and it’s been imported into Sunsama, the Sunsama task’s due date will be updated.
  • Mark as complete: If you check off the Sunsama task, the task will be marked complete in ClickUp. If you check off the task in ClickUp, the Sunsama task will be marked complete.

Best practices

Most people will want all their sync automations turned on.
